Role Overview

Reports to:
Chief Executive Officer

The Executive Assistant provides high-level administrative and operational support to executive leadership, ensuring efficient day-to-day operations and effective coordination across internal and external stakeholders. This role requires strong organizational skills, sound judgment, and the ability to manage competing priorities in a fast-paced, professional environment.

Key Responsibilities

·      Manage complex calendars, schedule meetings, and coordinate travel arrangements for executive leadership.
·      Develop and manage onboarding process for prospective new hires.
·      Coordinate with IT, HR, Payroll, Accounting, and other divisions to ensure operations of the organization are running smoothly.
·      Review and approve expense reports for all employees following set company procedures.
·      Serve as a primary point of contact between executives, internal team members, clients, and external partners.
·      Prepare, review, and organize correspondence, reports, presentations, and other business materials.
·      Coordinate meetings, including agenda preparation, logistics, and follow-up on action items.
·      Maintain strict confidentiality when handling sensitive business and personnel information.
·      Support day-to-day business operations by managing priorities, tracking deadlines, and ensuring timely execution of key initiatives.
·      Assist in the preparation of internal and external communications, including emails, announcements, and reports.
·      Organize and maintain files, records, and documentation in accordance with company standards.
·      Identify opportunities to improve processes, increase efficiency, and support organizational effectiveness.
·      Handle special projects and assignments on behalf of executive leadership as needed.
·      Coordinate with internal teams to ensure alignment and follow-through on strategic initiatives.
·      Monitor and manage expenses, invoices, and basic reporting related to executive activities.

Qualifications

·      Bachelor’s degree or equivalent professional experience.
·      3+ years of experience supporting senior executives or leadership teams.
·      Exceptional organizational and time management skills, with the ability to prioritize effectively.
·      Strong written and verbal communication skills.
·      High level of professionalism, discretion, and integrity.
·      Ability to operate independently and exercise sound judgment in decision-making.
·      Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other business tools.
·      Experience in a professional services or insurance environment is a plus.

Compensation & Benefits

The annual base salary range for this position is $75,000 to $85,000. Actual compensation will vary based on multiple considerations, including but not limited to an individual’s background and qualifications, relevant experience, geographic market conditions, role complexity and responsibilities, demonstrated competencies, training, and other factors.

Additional benefits for eligible employees include:
·      Discretionary incentive compensation may be awarded at the Company’s sole discretion and is not guaranteed.
